Design Business Assistant

BrightTree Studios is currently seeking a Design Business Assistant to join our team onsite at our Warrendale/Cranberry office. This role is ideal for a talented, driven individual who is committed to excellence and brings a high level of enthusiasm to their work.

A hybrid schedule is available after the first year of employment.

The Design Business Assistant is a vital support role within the technology consulting team (Telecom, Audiovisual, Security and Acoustics). This position provides administrative, document, and quality control support to the technical design staff, enabling efficient project execution and consistency in deliverables. While not a design role, this position offers exposure to the business side of consulting and an opportunity to grow in a dynamic, detail-oriented environment.

Job Responsibilities

  • Document Support: Format, edit, and proofread technical narratives, specifications, proposals, and reports for consistency, grammar, and quality prior to submittal.
  • Quality Control Coordination: Assist with internal QC process by organizing review cycles, tracking comments, and ensuring updated files reflect feedback.
  • Scheduling & Calendar Management: Coordinate internal team meetings, project deadlines, and client milestone schedules across disciplines.
  • Project Administration: Support consultants with document version control, file organization, and deliverable preparation (uploading drawings, compiling PDFs, organizing submittals).
  • Meeting Support: Prepare agendas, take and distribute meeting minutes, and follow up on action items.
  • Template Management: Maintain and update templates for reports, drawings, and specifications across disciplines to align with brand and standards.
  • Professional Development Support: Track training participation, assist with internal Lunch & Learn coordination, and organize knowledge-sharing resources.
  • Business Process Insight: Work closely with senior staff to learn firm operations, fee structures, documentation workflows, and consulting best practices.
  • Client and Team Communication: Draft or polish emails, summaries, or memos on behalf of senior design staff when needed.
  • Support Project Onboarding: Assist with initiating new projects by organizing folders, document sets, and scheduling kickoff meetings.

Ideal Candidate Qualifications

  • Associate’s or bachelor’s degree in Business Administration, Communications,
  • Architecture/Engineering Support, or related field
  • 1-3 years of professional experience in an administrative or project coordination role (A/E/C industry experience is a plus)
  • Strong writing, editing, and document formatting skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Familiarity with Adobe Acrobat, Bluebeam and PDF mark-up/comment workflows
  • Excellent organizational skills with an ability to manage multiple priorities
  • Strong interpersonal and communication skills – must be comfortable working in a fastpaced, team-oriented environment
  • Eagerness to learn about technology design consulting, standards, and documentation practices
  • Bonus: experience with or exposure to design software platforms such as Revit, AutoCAD, or Bluebeam
